Who runs this forum

RadixTalk is operated by Cadwynbloc Ltd, a company registered in England and Wales, company number 16870814, registered office Ground Floor, 108-112 Main Road, Sundridge, Sevenoaks, TN14 6ES. This is our registered office address for company-law purposes only — post sent there may not reach us. For anything relating to this policy or your personal data, please contact us by email at admin@radixtalk.com rather than by post.

What we collect

  • Account information: your username, email address, and any profile details you choose to add.
  • Content: posts, replies, private messages, and anything else you submit to the forum.
  • Technical and log data: the IP address associated with each post and each request to the server, browser/device information, and standard web server logs.
  • Cookies: small files used to keep you signed in and remember your preferences (see Cookies, below).

Why we process this data

  • To provide and operate the forum: creating and managing your account, publishing your posts, sending account-related emails (password resets, notifications you’ve opted into). Lawful basis: performance of a contract — by agreeing to our Terms of Service to use the forum, we need to process this data to deliver that service to you.
  • To keep the forum secure and functioning: server logs, spam/abuse prevention, diagnosing technical problems. Lawful basis: legitimate interests — we have a legitimate interest in keeping the forum secure, working, and free of abuse, which we don’t believe overrides your own rights and interests here.

How long we keep it

  • Web server logs (IP addresses and request details recorded by our server infrastructure): no more than 14 days.
  • Search query logs (search terms entered by signed-in users): no more than 365 days.
  • Email logs (delivery and bounce records): no more than 90 days.
  • Backups (regular copies of the forum’s database and uploads, including account details and posts, kept so we can recover from a failure): automatically deleted after no more than 14 days. If you ask us to delete your account, your data is removed from the live forum once we’ve actioned your request, but a copy may remain in our backups until they expire within that period; those copies aren’t used for anything else in the meantime.
  • The IP address most recently associated with your account: kept for as long as your account remains active, and removed if you delete your account or we anonymize it following a deletion request.
  • Account and post content: for as long as your account is active, or as required to maintain the forum’s history, unless you request deletion (see Your rights, below).

Who we share it with

We use a small number of service providers to run the forum, each of whom processes data on our behalf under a data processing agreement:

  • Hosting: OVHcloud (server infrastructure, UK datacenter).
  • Outbound email: SMTP2GO (SMTP relay, EU sending region).
  • Backups: Cloudflare (R2 object storage, EU jurisdiction).

We don’t sell your data, and we don’t share it with anyone else except where required by law.

International transfers

Our hosting is based in the UK. Where any of the service providers above are based outside the UK/EEA, we rely on appropriate safeguards (such as the UK’s International Data Transfer Addendum or equivalent standard contractual clauses) for that transfer.

Backups are covered — the Cloudflare R2 bucket used for backups is set to the EU jurisdiction, so that data is guaranteed to stay stored and processed within the EU. The SMTP relay (SMTP2GO) sends outbound mail via its EU region (mail-eu.smtp2go.com), keeping that within the EU too.

Cookies

We use cookies that are necessary to keep you logged in and to remember your site preferences. We do not currently use third-party advertising or tracking cookies. If this changes, this policy will be updated and, where required, you’ll be asked for consent.

Your rights

Under UK GDPR, you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate data;
  • ask us to delete your data or anonymize your account (see “How long we keep it” for how this applies to backups);
  • object to or restrict certain processing;
  • receive a copy of your data in a portable format;
  • complain to us, or to the UK Information Commissioner’s Office (ico.org.uk), if you think we’ve handled your data incorrectly.

To exercise any of these rights, email admin@radixtalk.com. We aim to acknowledge requests within 5 business days and to respond in full within one month, as required by law.

Complaints

If you have a complaint about how we’ve handled your personal data, email admin@radixtalk.com with “Privacy complaint” in the subject line. We’ll acknowledge your complaint within 5 business days and aim to resolve it within 30 days. If you’re not satisfied with our response, you can escalate to the ICO.

Changes to this policy

We may update this policy from time to time. Material changes will be announced on the forum. The date at the top of this page shows when it was last updated.
